1. Who is responsible for your data
The data controller is Road 273, an unincorporated association represented by Federico Salinas, based in Warsaw, Poland. Questions and requests concerning personal data may be sent to fed@nousevolution.com.
2. What this policy covers
This policy covers personal data received through the Road 273 website, our application form, interview scheduling and email, admissions and membership administration, and Road 273 sessions or materials where personal data is involved.
3. Information we may collect
- Identity and contact details: such as your name, email address, location or time zone.
- Application information: your answers about your background, interests, reading experience, reasons for applying, and how you heard about us.
- Scheduling and correspondence: interview times, calendar details, emails, moderator notes, and follow-up communications.
- Admissions and membership records: attendance as a guest, admissions outcome, membership status, and information needed to administer the group.
- Technical and usage information: basic site traffic information made available by our hosting provider, such as page views and unique visitor counts.
Please do not include sensitive personal information in an application unless it is genuinely relevant and you choose to provide it. Road 273 does not currently publish session recordings or identifiable transcripts. If that changes, participants will receive a separate notice and, where required, be asked for consent before recording or publication.
4. Why we use personal data
We use personal data only where there is an appropriate legal basis:
- Legitimate interests: to respond to inquiries, assess applicants, arrange interviews and guest attendance, administer admissions and the community, protect the site, and improve how Road 273 operates.
- Steps at your request or membership arrangements: where processing is needed before you join or to administer an agreed membership relationship.
- Consent: for optional communications or activities for which consent is the appropriate basis. Where special-category data is intentionally processed, we will seek explicit consent unless another lawful condition applies.
- Legal obligations: where we must keep or disclose information to comply with applicable law.
Admissions decisions are made through human consideration by the moderators and members. Road 273 does not make decisions with legal or similarly significant effects through solely automated processing or profiling.
5. Who may receive your data
Personal data may be shared, only as reasonably necessary, with:
- Road 273 moderators and, for confidential admissions consideration, participating members;
- service providers used for forms, email, scheduling, hosting, and basic site analytics, including Google and OpenAI;
- professional advisers, authorities, or other parties where disclosure is required by law or necessary to protect legitimate rights.
The application form and any future Google Calendar booking page are Google services. This website is hosted using ChatGPT Sites. Those providers may also process information under their own policies: Google Privacy Policy ↗ and OpenAI Privacy Policy ↗.
Road 273 does not sell personal data.
6. International transfers
Some service providers may process information outside Poland or the European Economic Area. Where Road 273 is responsible for such a transfer, we rely on an applicable safeguard, such as an adequacy decision or approved standard contractual clauses, including the safeguards made available by the relevant provider.
7. How long we keep information
- Unsuccessful or withdrawn applications and related correspondence: ordinarily up to 12 months after the process concludes.
- Scheduling and interview records not otherwise needed: ordinarily up to 12 months after the last contact.
- Member administration records: for the duration of membership and ordinarily up to 3 years afterward.
- Legal or dispute-related records: for as long as reasonably needed to meet the relevant obligation or establish, exercise, or defend a claim.
We may keep anonymous or aggregated information that no longer identifies a person. Any future recording or transcript notice will state its specific retention period.
8. Your rights
Subject to applicable law, you may ask to access, correct, erase, restrict, or receive a copy of your personal data, and you may object to processing based on legitimate interests. Where processing relies on consent, you may withdraw it at any time without affecting earlier lawful processing.
To make a request, email fed@nousevolution.com. You may also lodge a complaint with Poland’s supervisory authority, the President of the Personal Data Protection Office (UODO), or with the supervisory authority where you live or work.
9. Security, external links, and children
We use reasonable organizational and technical measures appropriate to the nature of the information. No internet service can promise absolute security. Links to third-party websites are governed by those sites’ own terms and privacy practices.
Road 273 is intended for adults and is not directed to anyone under 18. If you believe a minor has provided personal data, please contact us so that we can review and remove it where appropriate.
10. Cookies and similar technologies
Road 273 does not add advertising trackers or marketing analytics to this site. Our hosting provider and external services may use cookies or similar technologies that are necessary to operate their services, subject to their own policies.
11. Changes to this policy
We may update this policy as Road 273 develops, including when the members’ area or new services become available. The date at the top will show when the policy was last revised. Material changes will be brought to members’ or applicants’ attention where appropriate.
